This article will guide you to set up basic parameters before creating a deduction policy.
Many companies have to abide by the law of attendance tracking which is according to different schedules of violations and penalties associated with it.
Work timings can be defined along with configuring multiple levels for Late arrival and Early departure wherever needed as per these business requirements.
Configuring Work Timings
Under Settings > click on the 'Attendance' tab > Work timings and click on "Add new" to create a new work timing or edit the existing one.
-
Fill in the details of your work timings as required for attendance.
-
Toggle "ON" Late arrival, Early departure, or Absent to create levels of violations according to the labor law. Up to a maximum of 4 levels can be configured for Late Arrival and Early Departure and a single level can be configured for Absent. These levels can be configured as per the business requirement.
-
When setting up different levels for tracking late arrivals and early departures, it's important to have a logical order.
For eg. If the first level is set at 15 minutes, the second level should have a higher value, and so on for the following levels.
In the below screenshot, the workday starts at 9 AM and ends at 6 PM.
-If an employee arrives between 16 and 30 minutes late, they will be marked as late at Level 1.
-If they arrive between 31 and 60 minutes late, they will be marked at Level 2.
Each level represents a longer duration of lateness, and the order helps you keep track of how late someone arrives or leaves.
-
Similarly, you can toggle "ON" Early departure and define the levels of violations accordingly.
For eg. Level 1 is considered an early departure if the employee checks out 30 minutes before their end time.
-
Absent Day-Set the total number of minutes that an employee can check in late by before they are considered absent for the day. For eg. 120 minutes, so for an employee checking in later than 120 minutes of their shift start time, their attendance for the day will automatically reflect as 'Absent' in the attendance report.
-
Allow breaks: Set the total duration of a break that employees can take at any time in a single day. If employees exceed the allowed break duration, it will be highlighted in red in your attendance report.
-
Allow out-of-office check-ins: Enabling this will allow employees to check in from home or other remote locations.
Once the work timing is created/updated, you will be able to see the details of all the work timings in the list view along with the number of levels defined in each work timing.
If the toggle is OFF for a particular setting (e.g. Late Arrival, Early departure, or Outside Office), the view will display ‘Disabled’ for it.
The 'i' icon next to the levels will display different levels configured.
