Welcome to the Admin Guide on managing permissions for spaces in the Knowledge Hub. This essential feature empowers administrators to control access to spaces, ensuring that the right individuals have the appropriate level of access to the content they need. This guide will walk you through the steps to configure space permissions based on general access settings or customized access levels.
Understanding Space Permissions
Permissions control who can view and interact with the content within a space. In the Knowledge Hub, there are three permission levels:
1. All Employees can view this space and its contents: All employees within your organization can view and access the space's content. This setting is suitable for general information and resources meant for widespread consumption.
2. Only Me: Only you, the administrator, have access to the content within this space. Use this setting for sensitive documents or resources that require restricted access.
3. Custom Permissions: With this setting, you have granular control over individual access levels. You can assign permissions to employees on a per-user basis, determining whether they have "No Access," "Editor" privileges, or "View Only" rights.
Configuring Space Permissions
1. Accessing Permissions: Start by navigating to the space you want to manage. Click on the space to enter it, and then locate the "Share" option. This is where you'll configure permissions.
2. Choosing a General Setting: If you opt for "All Employees" or "Only Me," simply select the respective option and save your changes. The space's access will be set according to your choice.
3. Setting Custom Permissions:
a. Select "Custom Permissions" to individually manage access for employees.
b. You'll be able to see the list of employees and each employee's current access level will be displayed alongside their name.
c. Edit an employee's access by selecting the appropriate access level from a dropdown menu next to their name. Choose from "No Access," "Editor," or "View Only."
d. Remember to save your changes after adjusting permissions for each employee.
