You can now set up workflow to automate request creation for Air ticket encashment.
Step 1 - Access workflows and initiate creating a workflow
- Navigate to Workflows by going into the Settings Menu → Workflows.
- You can then click on Create a Workflow to start.
Step 2 - Search for Air Tickets Auto Encashment Recipe
Step 3 - Click on Start to view the workflow structure.
- Start by naming your workflow to make it easy to organize and identify.
Step 4 - Define when the workflow should be triggered.
- You then can click on the edit icon of the “When” card to define the application and event needed to trigger the auto encashment.
- Starting with a recipe or template ensures that all the necessary data points are already preselected for you.
- You can define the date and time for when the workflow should be triggered here.
- The displayed time is based on UAE time for UAE accounts and KSA time for KSA accounts.
- The minute selector is not functional; you can only set the time by hours.
- Click on Select after completing the selection.
Step 5 - Define Criteria considerations.
- After defining the “When” card items, you can then proceed to define the Criteria. Click on the Edit button in the “If” card.
- In the IF card you can define special conditions if needed, however, for the recipe the data points will be preselected to show Air ticket - Redeem options → Encashment.
Note: You may pick other options as well if required. - Click on Done after completing the selection.
Step 6 - Define the end air ticket encashment request type to be created (Multi-selection)
- Once the “If” card values are finalized you can proceed to the “Air Ticket Encashment Request” card.
- The encashment will be have the following preselected,
Application - Bayzat Payroll
Application action - Create air ticket encashment request
Assignee - Employee (The employee against whom the request should be raised for) -
Next, select the "Air Ticket Encashment Request Type." You can either:
>Choose a request that is fully approved, where only the correct approver needs to add the encashment request to the payroll table.
>Or choose to create a request that requires approvals according to the defined Air ticket approval flow. -
Click on Done after completing the selection.
Step 7 - Save workflow
- You can then either click "Save" to activate the workflow or make further adjustments as needed. For example, you can configure it to send emails to the relevant approvers or create email notifications for other air ticket redemption options.
- Once you click "Save," you will be redirected to the main Workflows list view.
Step 8 - View saved workflow
- Click on the "Workflows" tab to access the workflows you have defined.
Step 9 - View Activity log
- To view the activity of your workflows, click on the menu button of any workflow and select "View Activity." This will take you to the Activities view, where you can see a list of all previously executed events.
- You can view more details regarding the triggered event by accessing the row item.
Step 10 - Air ticket encashment request management
- After your encashment request is generated, it will be available under the Air Ticket admin view in the Finance menu. Depending on the type of encashment request you selected when defining the workflow, it will appear either in the Pending state or the Approved state.
